Working Hours: 7am-3pm PST / 40 hours week
Period: 06/19/2023 to 06/18/2024
Job Summary:
This position supports the management and other functional groups as required. Also supports approximately 50+ employees for training requirements, corporate card expenses, LOA, etc.
Job Responsibilities:
o LOA, OOP, & cell phone allowance
o Expense Reports for all field
o Updating tickets in Workday
o Additions/ removals of training
o Pulling training reports for regional Supervisors in both Workday & Power BI
o Schedule training courses, individual & group

Job Summary:
This position supports the management and other functional groups as required. Also supports approximately 50+ employees for training requirements, corporate card expenses, LOA, etc.
Job Responsibilities:
- Perform standard and advanced administrative and business operations duties for Manager(s). Provides analytical support within a functional organization.
- Coordinate new hire and existing employee moves by establishing IT accounts, phone extensions, etc. Assists in the development of project plans.
- Works with project manager(s) to ensure the integrity and completeness of status reports.
- Coordinate meetings. Make travel and lodging arrangements as required. Prepares reports for use in business planning and analysis for assigned area.
- Screen calls, distribute mail, and update contact lists.
- Process expense reports, EMRs, and order supplies.
- Create correspondence and maintain library of presentations.
- Coordinate and implement special projects, maintain confidential files.
- Attend staff meetings, TDR meetings, and provide meeting minutes.
- Coordinate and manage vacation calendars.
- Record and prepare minutes for: OHSE, Measurement, Pipeline, Compressor Stations, Fleet Support, PCards
o LOA, OOP, & cell phone allowance
o Expense Reports for all field
o Updating tickets in Workday
o Additions/ removals of training
o Pulling training reports for regional Supervisors in both Workday & Power BI
o Schedule training courses, individual & group
- Update Operator Qualifications
- Optometry Form Requests
- Managing Weekly Ops Schedule
- Order office supplies, plus business cards
- Front Desk Contact, Phones, Manage visitors
- Enter/support inspections into Encompass
- Update Telephone Directory
